Online Web Portal To Automate Scheduling Of Property Handover Meeting
XYZ is a well-known privately owned business in the UK. XYZ deals in the real estate and hospitality sector with a proven track record in delivering house projects to their customers. To deliver properties to client XYZ, you must book a meeting to attend a site with their representatives to self-snag an apartment. For this process, the clients receive notification of completion of their apartments and given a date to handover their purchase.
Problems faced by ABC Company
For the handover process, the client was asked to book a preferred date/time (XYZ offers 5 (hour and a half) time slots to 4 XYZ representatives to handle all client meetings) starting at 09:30 to 17:00. Hence, XYZ representatives look at 20 – 24 bookings every day.
This was manually managed by company employees through an appointment scheduler that obtains details over a phone call. This was very hectic and prone to human error. Desk callers set up meeting with conflicting times with the same representative, and any cancelled meetings took a tedious amount of time to reschedule.
Our solution
Our client wanted an efficient solution to overcome this handover process, so all appointments and cancellations can be handled robustly. We suggested XYZ to automate their client handover meetings.
· We provided a solution with an online web portal to book timeslots for handover meetings and linked it to the MS CRM.
· Client logins on the web portal must select a date, time slot, and proper details to book a meeting.
· Each appointment included a date, time, client name, and unit number to transfer into a handover calendar in the MS CRM.
· As the time slots are getting booked by the client, those slots are removed from the available time slot list and only the open time slots are displayed for further booking.
· As the user successfully books a handover meeting, the reservation is saved in the MS CRM with complete details, and the activities performed on the web portal is also saved in the MS CRM.
· The system uses MS CRM scheduling service to book handover meetings for 4 XYZ representatives, who handle up to 5 clients per day.
