Transforming Real Estate Asset Management with Microsoft Power Platform
Executive Summary
In today’s competitive real estate market, efficiency is crucial for quick profits. At XYZ Company in Southern Europe, the Real Estate Management team faced this challenge on a daily basis. They managed properties to generate income or recover loans in a structured manner. Despite their expertise, their tools and processes hindered their speed.
The Challenge faced by XYZ
Despite their experience, the team encountered significant difficulties in managing information, collaborating with partners, and tracking property data. Four main challenges emerged.
Inefficient Communication
The team lost time searching for the correct documents across SharePoint and physical files. With architects, surveyors, and agents sending inconsistent data, sharing reports required endless PDFs and email chains, causing delays and diverting focus from strategic work.
Frequent Data Errors
Most records were stored in scattered Excel sheets, resulting in duplication, inconsistency, and confusion. Without a central database, revisions were passed through multiple hands, increasing human error and compromising operations and financial accuracy.
Delayed Approvals
Approval processes involving finance and legal teams frequently experienced delays due to irregularities in document handling. Multiple development scenarios for each property required separate documentation and tracking, and mixed approvals often overlooked key implementation details, such as fund releases and contractor payments. These lapses led to vendor disputes and eroded stakeholder trust.
Disconnected Data Systems
The SharePoint document system was fragmented, with disconnected folders and no links to property data, making collaboration hard and delaying data-driven decisions.
Proposed Solution
To overcome these challenges, we proposed that XYZ adopt a model-driven Power Platform application built on Microsoft Dataverse. We designed the solution to unify data, automation, and communication under one secure platform.
The system fundamentally offers a centralised repository for property, document, and workflow data, ensuring consistent management. Role-based access controls restrict sensitive information to authorised personnel only. Property portfolios can be assigned or expanded through an easy-access request process, enabling simple control maintenance without hindering productivity.
Automated workflows and Power Automate flows notify users of status updates, manage approvals, and track all activity, keeping staff productive without delays. By integrating with Outlook, the system automatically logs emails when users CC a shared mailbox, ensuring complete communication records are maintained within the CRM.
Documents are uploaded directly into Dataverse and linked to property records, eliminating folder navigation. A tab-based interface guides users through approval steps for consistent, traceable processing. Designed collaboratively with teams and leadership, the clean interface reduces training time and helps new hires become productive quickly.
